Privacy statement

We keep as little information about you as possible. Below, we explain what we store and why.

Who is responsible?

AI connector

If you use our AI connector, De Fysioplek receives only the selected public search options (practice, service area, date and result limit). The connector does not ask for symptoms, contact details or government identifiers and does not reserve appointments. Results return to your AI service; that service's privacy policy applies to your conversation. You enter contact details on our website. We do not store connector searches in a database. To prevent abuse, we count requests per IP address over one minute; these counters remain only in web-server memory until cleanup or restart. Hosting providers may keep technical access logs. You can disconnect the connector in your AI service and use our website directly.

Anonymous visit counting

We count how many people use the site and whether they tap a time. To do this, your browser receives a random number stored in sessionStorage. That number disappears when you close the tab. During our ads test (September 2026) the homepage loads Google Analytics and Google Ads measurement; Google sets cookies for that to measure site use and the number of reservations. You can block this with your browser's cookie settings or a tracker blocker. We don't know who you are.

Free-slot alert

If you sign up, we keep your email address, the area, your complaint and the time of day you want. We use this only to email you when an appointment becomes available. When you unsubscribe, we delete these details.

Preparing an appointment

When you select Finalize appointment, we save your name, email address, phone number and selected practice, therapist and appointment. This lets us track your request and contact you if needed to help complete it. It is not a booked appointment or permission for marketing. Only our founders can view these incomplete requests. We keep them until manually deleted; you can ask us to delete them. Final submission links the incomplete request to your booking request.

At some practices we prepare the appointment for you. We ask for your name, email address, phone number and complaint. We only ask for your date of birth, gender and address when the practice needs them.

Because information about your condition is health data, we only do this with your explicit consent: the tick box in the form. We store that consent with your reference number and you can withdraw it at any time via info@defysioplek.nl.

With your permission we use these details to arrange the appointment with the practice. We store the submitted details and your first-visit preference with your booking reference in our restricted database. Only our founders can view and correct the additional patient details to complete the appointment. We also send the necessary details to our own booking mailbox. These details are not displayed on the public site.

Booking records are currently not deleted automatically. Copies may also remain in our protected backups and booking mailbox. You can contact us to request access, correction or deletion. We do not store a BSN (Dutch citizen service number).

Contact and feedback

What you send through the contact form or the feedback field is kept as long as needed to answer you and improve the site.

Technical service providers

Cloudflare protects the site against abuse (the bot check, Turnstile) and handles the traffic to the site. Cloudflare sees your IP address in the process.

Our application and database run on a server within the EU. Our hosting provider processes the traffic to our server in doing so, including your IP address.

The map comes from OpenStreetMap. When the map tiles load, OpenStreetMap sees your IP address. We serve fonts and map software ourselves through our hosting providers.

Our server keeps a log of visits (IP address, time, requested page). We keep those logs briefly and use them only to fix problems.

Data about practices and therapists

Names, addresses, specialities and available appointments of practices and physiotherapists are public business data that they publish on their own websites. We show them on the basis of legitimate interest. To have something corrected or removed, email us.

Retention periods

• Anonymous visit number: until you close the tab.
• Free-slot alert: until you unsubscribe.
• Appointment details: stored in the restricted booking record; currently without automatic deletion.
• Contact and feedback: as long as needed for a reply.
• Server logs: briefly.

Sharing and selling

We don't sell data. We share it only with the practice you choose yourself and with the technical service providers above.

Your rights

You can ask to see your data, have it corrected or have it deleted. Email info@defysioplek.nl. If you're unhappy with how we handle your data, you can lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
